Your team counts.
We handle everything else.
A guided, self-directed physical inventory built for retailers with the staff — but not the scanners, the file expertise, or the time to figure it out.
One audit. Two teams. Lower cost.
Self-Scan splits the work where it makes the most sense — the hardware, set-up, and data processing come from Apex; the physical count comes from your team.
The hard parts
Training, configuration, hardware, file structure, section tags, and a finished export that drops straight into your POS.
- Staff training (virtual or in person)
- Product & scanner configuration
- Pre-configured scanners shipped to your site
- Source file import
- Section tagging
- Count file creation
- POS-ready export
- Site walkthrough (virtual or in person)
- Real-time support during the audit
The count
Your team — the people who already know your store — performs the physical count using our scanners and our process. That’s where the savings come from.
- Scheduling your staff
- Scanning product on the floor
- Following the count plan we walk you through
Everything except the count itself.
Self-Scan is a full-service program in every way except who’s holding the scanner. Here’s what comes in the box.
Training
Hands-on training for your team so everyone knows exactly how to scan, tag, and recount before audit day.
Product Configuration
We configure your products and SKUs so scans return clean, structured data — no clean-up on the back end.
Scanners Shipped In
Pre-configured scanners ship to your location ahead of the audit and ship back when you’re done. No equipment to buy.
File Import & Setup
We import your source file, build the count structure, and prep section tags before your team scans a single item.
Section Tagging
Sections are mapped to your floor so reporting actually reflects where inventory lives — not just what was counted.
Site Walkthrough
Virtual or in-person walkthrough of your store so the count plan matches reality, not a generic template.
Day-of Support
Live support throughout the audit. Hit an issue, you reach a real Apex team member — not a help desk.
POS-Ready Export
The final file is built to your POS’s exact import specs. No reformatting, no manual cleanup, no surprises.
Optional On-Site Supervisor
Add a dedicated Apex supervisor on the floor for real-time guidance, quality control, and faster problem-solving.
From kickoff to closed audit.
Kickoff & file intake
We collect your product file, POS export specs, and location details. You tell us what success looks like.
Configuration & section mapping
Apex builds the count file, configures scanners, and maps your sections to match the floor.
Training & walkthrough
Your team gets trained — virtually or in person — and we walk the site to set the count plan.
Audit day
Scanners arrive pre-configured. Your team counts. Apex is on-call (or on-site, if you choose) for live support.
Export & close
Apex processes the data, generates a POS-ready export, and delivers your finished file.
Is Self-Scan the right call for your store?
Self-Scan is built for operators with adequate staffing who want to cut audit cost without giving up structure, accuracy, or POS-ready output.
Self-Scan is a strong fit if you…
- Have enough staff to dedicate to a count day
- Want to lower the cost of a physical inventory audit
- Don’t own the scanners or software to do it solo
- Need a clean, POS-ready output file
- Prefer structure and guidance, not guesswork
- Operate a single location or small multi-location group
A full-service Apex audit may fit better if you…
- Don’t have staff to spare for the count
- Need the audit done overnight or off-hours by an outside crew
- Have very high SKU complexity or shrink concerns
- Want zero internal team involvement
Want an Apex pro on the floor?
Add a dedicated on-site supervisor for real-time guidance, scanner support, and quality control. Ideal for first-time Self-Scan customers or larger floor plans where one extra set of expert eyes makes the day go faster.
Self-Scan, answered.
What is a Self-Scan inventory service?
Self-Scan is a guided physical inventory program. Apex provides the scanners, training, file configuration, section tagging, and POS-ready export. Your in-house team performs the actual count. It’s built for retailers who have the staff but not the tooling or expertise to run an audit on their own.
How much can I save vs. a full-service count?
Because Apex isn’t providing the count crew, Self-Scan typically costs significantly less than a full-service audit. Final pricing depends on store size, SKU count, and whether you add an on-site supervisor.
Do I need to buy scanners?
No. Apex ships pre-configured scanners directly to your location ahead of the audit. When you’re done, they ship back.
Will the output file work with my POS?
Yes. Apex configures the export to meet your POS import requirements before the count begins, so the file drops in cleanly with no manual reformatting.
Can someone from Apex be on-site the day of the count?
Yes — an on-site supervisor is available as an add-on. They handle real-time troubleshooting, quality control, and team coordination during the audit.
How far in advance should I schedule a Self-Scan audit?
We recommend 3–4 weeks of lead time. That gives us room to configure your file, ship scanners, train your team, and walk the site before count day.
Where do you offer Self-Scan?
Apex Inventory Service operates across Oregon, Washington, Idaho, and California. Self-Scan is available throughout our service area.
